For an electronics business evaluating warehouse space near Sriperumbudur, traceability begins with a clear record of what arrived, where it went and what was dispatched. The property layout and the inventory system need to support that record together. A barcode scanner is useful only when the underlying identifiers and transactions are defined.
Choose the required level of identification
Ask the product owner whether tracking is needed at product, batch, serial-number or logistics-unit level. Different flows may use different levels. Document how an outer package relates to its contents and what happens when that package is opened, split or repacked.
The GS1 Global Traceability Standard overview describes critical tracking events and the key data elements that record them. Receiving, packing and shipping are examples of events around which to organise an operating brief.
Define a minimum event record
| Event | Questions the record should answer |
|---|---|
| Receipt | What arrived, against which reference, in what quantity and condition? |
| Put-away | Which identified stock moved to which location? |
| Transfer or repack | What changed, and how is the link to the original stock preserved? |
| Quality decision | What was held or released, by whom and against which reference? |
| Dispatch | Which stock left, on which shipment and to which destination? |
Choose only fields that have a defined purpose and owner. A complicated form that staff cannot complete reliably can be less useful than a short, consistent record. Test the agreed fields with a real sample workflow before rolling them out.
Give exceptions a physical place
Plan where goods wait when a label cannot be read, quantities differ or quality review is needed. The team should be able to identify the stock physically and see the same status in the system. Record who can resolve the exception and authorise the next movement.
Keep the area’s footprint in the warehouse layout. Goods awaiting a decision still occupy space, and their accumulation may affect receiving even when the main storage racks have capacity.
Run a traceability rehearsal
- Receive a controlled sample and record its identifiers and quantity.
- Move it to storage and confirm the location record.
- Split or repack part of it if that is a normal operation.
- Place one portion on hold and check that the intended controls work.
- Dispatch the approved portion and reconstruct the sequence from the records.
The rehearsal should reveal missing links, inconsistent units of measure and unclear responsibilities. Record the expected result before the test and reconcile the final physical quantity with the system.
Translate the workflow into a property brief
Share the space needed for receiving, inspection, storage, packing, returns and restricted access, together with the system and network requirements. Product-specific requirements such as environmental control or electrostatic protection should be specified by the responsible technical team; a general warehouse description does not confirm them.
When discussing Mansi Industrial Park or another shortlisted property, ask which parts of the required fit-out are included and which remain the tenant’s responsibility. Use the same traceability rehearsal as an acceptance exercise once the chosen site is ready.
